Client Services Study Coordinator (mountain view)

  • I. Position Summary
    This position has the primary responsibility of interfacing with clients and coordinating studies to insure a positive overall experience for the client.

    II. Primary Accountabilities
    • Act as the primary contact and liaison for clients who are scheduling nonGLP studies. Ensure efficient and accurate communication with the client and internal personnel.
    • Take part in initial client meetings with sales and clinical personnel. Help direct the client through the process of study organization.
    • Work with clients to assure all necessary paperwork is completed and ready for submission to the ARC and accounting.
    • Direct scientific, regulatory, financial concerns or questions to the correct company contacts.
    • Assure that all specialty equipment and supplies are ordered and track delivery if needed.
    • Communicate animal orders, pre-treatment needs, and special instructions for the study to the animal ordering personnel.
    • Write study details with the assistance of the client, Clinical Lead and veterinary staff.
    • Insure all materials are in the room the evening prior to the study and insure company veterinary or clinical support is prepared to assist appropriately.
    • Track media (video tapes, CDs, and DVDs) acquired and tissues collected for the study. Confirm shipments are accurate and follow up with the client as necessary.
    • Assist clients as necessary with questions or concerns regarding their study and direct their needs to others within the company.
    • Review charge sheets prior to client’s departure, ensuring client agreement with start/stop times, resources used, equipment used, and ensuring client signature, which indicates their agreement with the charges.
    • Understand basic pricing structure.
    • Receive client complaints and conduct investigation of disputes and complaints with applicable personnel.
    • Physician training arrangements:
    o Interfacing with client coordinator.
    o Coordination of logistics: arrival/departure, agenda (didactic time, lab time, when to have animal ready, A/V needs).
    o Updating logistics details in the calendar.
    o Communication with veterinary management on personnel resources.
    o Required to staff training events.
    o Arranging special equipment or instrument rentals (as needed).
    • Other duties assigned by the manager and/or the management team.

    III. Job Requirements
    • Veterinary Technician experience highly desirable.
    • Customer service experience, customer-focused interaction.
    • Ability to anticipate client needs and expectations.
    • Ability to absorb and learn technical knowledge of medical procedures and terminology quickly.
    • Excellent written and oral communication skills.
    • Familiarity with MS Office.
    • Team player.
    • Ability to work in a high pressure environment or uncomfortable client interactions and keep smiling.
    • Demonstrate analytical and problem-solving skills.
    • Must be able to multitask.
